BNI FLAGSHIP

BNI FLAGSHIP member guide

From your first link to your traffic light.

New to the chapter site? This page starts where you do, with the activation link: signing in, bringing guests, logging your weekly 1-2-1s and referrals, and how the traffic light is scored. Admin tools and questions come last.

ForMembersGuestsAdmins

One site, three kinds of user.

Members register, bring guests and log their weekly activity. Guests need no account: they register and pay through a link. Admins take roll call, reconcile payments and look after the whole chapter.

What the platform does

會員檔案Member profiles
Each member has a page they update themselves, listed in the directory if they choose.
例會同活動Meetings & events
Every event on one calendar. Members register in one tap and the meal fee goes straight to My payments.
嘉賓邀請Guest invitations
One personal link per member. The system remembers who brought whom.
分級定價Tiered pricing
Early and standard rates switch over on their deadlines, with no manual edits.
收款Collection
A QR code and a unique reference code right after registering. The treasurer confirms in one tap.
分會埋數Chapter finance
Receivables, expenses, per-event P&L and the monthly report on one screen.
中英雙語Bilingual
Traditional Chinese and English site-wide, and shared links keep their language.
ForMembers

Activate in three minutes.

The chapter creates your account, so there is nothing to sign up for. Open the activation link sent to you on WhatsApp, set an email and password, and you are in the member portal.

  1. Admin

    Get your link on WhatsApp

An admin sends you a link that is yours alone. It works for 14 days and only once.

  2. Member

Open it and check it is you

The page greets you by name. If it is not you, stop and contact an admin.

  3. Member

    Set your email and password

Use the email you check most: sign-in links go there if you forget your password. Passwords need at least 8 characters, typed twice.

  4. Member

    Signed in, check your details

After Activate account the system signs you in and opens My profile. Check your company, title and photo.

ForMembersGuestsAdmins

Bringing a guest starts with one link.

All you send is a link. Registration, pricing, payment and reconciliation are handled for you, and the guest counts toward your traffic light.

  1. Member

    Create an invite link

In the member portal, open Invite guests and tap Create link. Tie it to one event, or choose Any event and let the guest pick.

  2. Member

Tap Copy and paste it into WhatsApp. Every link remembers it came from you, so the guest never has to mention your name.

  3. Guest

    The guest registers online

They open the link, pick an event and fill in name, phone and email. Your invite code is applied automatically, and no account is needed.

  4. Guest

They see the price and pay

Right after submitting they see the amount due, an FPS / PayMe QR code and a reference code to quote in the transfer remark.

  5. Admin

    The treasurer confirms

Once the transfer is matched it is marked paid. You see the status change under My guests on the Invite guests page.

Illustration. Names and figures are examples only.

How the price tier is chosen

Admins set each event's prices, which can come in tiers such as early bird, presale and standard, each with its own deadline. The event page always shows the actual amounts.

  • At the moment of registering, the system picks the open tier with the earliest deadline.
  • Once every tier with a deadline has passed, the tier with no deadline applies: the final price.
  • If there is no such tier either, registration closes automatically.
  • The amount is locked when the guest submits, so a later price change never affects them.

For example, a meeting with three tiers

Guests count toward your traffic light

Guests who register through your link count toward the Visitors item automatically. A cancelled registration, or a guest an admin marks as a no-show, does not count.

Weekly slips: log it as it happens.

Most of your traffic light comes from what you log yourself. When something happens, tap + on your phone, fill in two or three fields, and your light updates straight away.

What the five slips mean

BNI has plenty of jargon. Nobody gets it all the first time.

Meeting one other member on your own to learn their business and ideal client. Coffee or a visit to their office both count.

How to log one

  1. Open This week

The member home has a This week panel with a + button for each of the five kinds.

  2. Fill in a few fields

Pick the member and the date. Closed business needs an HK$ amount; a referral needs inside or outside, plus an optional contact and notes.

  3. Submit, the score updates

The portal rescores you as soon as it is saved. Everything is listed under History.

The traffic light only counts slips you submit yourself. If another member logs your 1-2-1, it shows under Logged by others on your history page, but you need to log it too for it to score. Guests are the exception: they count automatically when they register through your link.

6 months. 100 points. 4 lights.

The traffic light is the chapter's health check on each member's contribution. It scores your last 6 months of activity out of 100, then lights green, yellow, red or grey. It is not a league table. It shows you what is working and where a little more effort pays off.

  • Members who joined within 6 months are marked new
ForAdmins

Admin tools

These are for chapter admins only. Once you sign in, the side menu gains an Admin section.

Set up the next meeting

After each meeting, get the next one ready. It takes about five minutes from new to published, and once it is published the home page ticket, the events list and members' invite links all update on their own.

  1. New event

In Admin, open Events and click New event.

  2. Pick Weekly meeting and leave the status as Draft

Only admins can see a draft, so it stays off the home page until you are done. Fill in at least one title, for example "Weekly meeting". The web address is generated from the title and date.

  3. Date, time and venue

Enter the start time (required) and end time in Hong Kong time. Fill in the venue in both languages: the home page and event page show it as typed. Left blank, the home page reuses the last meeting's venue.

  4. Member meal fee and capacity

The member meal fee is what each attending member pays, and it is the amount used when you generate meal fees after the meeting. Leave capacity blank for no limit; when set, the event page shows the seats left.

  5. Create the event, then add pricing tiers

Create event takes you to the event page. Under Pricing tiers, add the guest prices: for example Early bird ending a week before the meeting, and Standard with no deadline. The last tier must have no deadline so registration stays open until the meeting starts. With no tiers at all, guests cannot register.

  6. Change the status to Published and save

Once it is published with a start time in the future, it appears on the home page ticket and the events list straight away, and members can register and create invite links in the member portal. The home page always shows the soonest one.

  7. On the day and after

From the registration list you can mark paid, waive, cancel or add walk-in guests. After the meeting, tick Attended in the registration list, then click Generate meal fees: each registered member gets one meal fee, counting only those ticked as attended if you ticked anyone, and clicking again never bills twice. Attendance for the traffic light is taken separately, under Roll call below.

Illustration. Names and figures are examples only.

Example: whether the last tier has a deadline matters

In both set-ups Early bird ends 7 days before the meeting. The only difference is Standard: in A it has no deadline, in B it ends 2 days before. Below is the tier the system actually picks.

Roll call

Pick a meeting: everyone starts as present, so change only the exceptions and save. Attendance scores only count meetings with a saved roll call.

  • Five statuses: present, late, absent, substitute, medical
  • Late counts as 0.5 of an absence; substitute and medical do not count
  • Search by name and mark the whole chapter on one screen

埋數

Finance

Receivables cover guest fees, meal fees and annual dues. Mark items paid as transfers are matched, one at a time or in a batch.

  • Filter receivables by type, status and event
  • Log expenses with receipts, tied to an event for its P&L
  • Per-event profit and loss and a monthly report

Questions

The questions members and admins ask most, from activation to scoring. Not answered here? Ask a chapter admin.

My activation link has expired. Now what?
Links last 14 days. If yours has expired, gone missing or says it cannot be used, ask a chapter admin for a new one. The old link stops working as soon as a new one is created.
I forgot my password.
On the sign-in page choose Email sign-in link and enter the email you activated with. We send you a link that signs you in with one tap.
Do guests need an account?
No. Guests register straight from your link or the event page with their name, phone and email.
Can the price change after I register?
No. The amount is locked to the tier in effect when you submit, and later price changes never affect existing registrations.
When will my payment show as paid?
The treasurer matches transfers by hand and marks them paid. Quoting the reference code in the remark makes this much faster.
Why 6 months?
6 months is long enough that one busy fortnight does not swing your light, and short enough that effort you put in now shows up soon. The window moves forward every day and old activity drops off.
How are new members scored?
Everyone is measured over the same 6-month window, so a member who joined less than 6 months ago will average a little low for now. They are marked as new, and admins take that into account. Keep the rhythm and the score catches up.
What if I log something wrong?
Within 7 days of submitting, delete the slip yourself from the history page of Weekly slips in the member portal, then submit it again. After 7 days slips are locked, so ask a chapter admin. For attendance corrections, ask an admin too.
The other member already logged our 1-2-1. Do I need to?
Yes. The traffic light only counts slips you submit yourself, so each of you logs it once to score.
Who can see my score?
Only you and the chapter admins. Your score never appears in the public member directory or on any public page.
Why does the home page quote last meeting's guest fee?
It means no future meeting has been published yet. Until then the home page shows the next Tuesday, quotes the previous meeting's guest fee for reference, and the register button leads to the events list. As soon as an admin sets the next meeting to Published, the home page switches to its date and price. See Set up the next meeting for how.
